Welcome to Brilliant Bell Tent Hire! These terms and conditions govern your use of our bell tent hire services. By making a booking with us, you agree to adhere to the following terms:
1. Booking and Payment:
Guest Booking Portals
- To secure a booking, a refundable deposit is required (depending on the number of tents you wish to secure for your guests), plus delivery fee. The minimum is usually 5 or 6 bell tents as standard, but a lower number may be agreed depending on location and dates.
- If the minimum amount of bell tents are booked then the full deposit will be refunded after your event.
- For Portal Bookings, there is a requirement for the minimum agreed bell tents to be booked. If less than the minimum are booked part or all of you deposit may not be refunded, depending on the number and value of the existing bookings.
- We accept payment via credit/debit card, bank transfer, or cash.
Group Bookings
- To secure a booking, a 30% non-refundable deposit is required. The remaining balance must be paid in full 2 months before the hire period.
Individual Bell Tent Bookings (through a guest portal)
- Depending on how close to the event your booking is you may make a partial payment and balance nearer the time, or pay in full.
2. Hire Period:
- The hire period begins on the agreed-upon start date and ends on the agreed-upon end date. Any extension of the hire period is subject to availability and additional charges.
- Early termination of the hire period does not entitle you to a refund.
3. Tent Setup and Usage:
- Our team will set up the bell tent(s) at the designated location on the agreed date as agreed upon during booking.
- You are responsible for providing accurate information regarding the location and accessibility of the site. We need to be able to get a long wheel base transit style van to where the bell tents will be sited.
- The tents are to be used solely for accommodation purposes. Any other use, including but not limited to parties or events, must be agreed upon in advance and may incur additional charges.
4. Care of Equipment:
- You are responsible for the care of the tent(s) and any accompanying equipment during the hire period.
- Smoking, the use of candles and the use of any cooking equipment are strictly prohibited inside Bell Tents and Tents.
- No open fires closer than 10m to the Bell Tents
- Any damage caused to the tent(s) or equipment beyond reasonable wear and tear will be your responsibility and may incur the following additional charges:
- Zips £80, Ground sheet tears £40, Canvas tears £80, Poles breakages £45, Cleaning fees due to spillages £50, Water Damage or Vomit £100
- Complete tent damage: Bell tents £600; 4 Person Regular Tents £230
- Lost or damaged beyond repair items are as follows: Mattresses £25, Pillows £10, Sheets £15, Duvets £25, Duvet covers £25, Chairs £50, Lights £10, Rugs & Mats – up to £70, Tables/crates £30, Plants £20
5. Safety:
- It is your responsibility to ensure the safety of all occupants while using the tent(s).
- Smoking and the use of candles, stoves, or any open flames inside the tent(s) are strictly prohibited.
6. Weather Conditions:
- Our bell tents are designed to withstand typical weather conditions. However, in the event of severe weather (e.g., high winds, heavy rain), it may be necessary to dismantle or relocate the tent(s) for safety reasons.
7. Cancellations and Refunds:
Guest Booking Portal Bookings (Deposit Payer)
- Any cancellation of the full booking at any time will result in loss of the deposit.
- Refunds will not be provided for early terminations or unused portions of the hire period.
Group Bookings
- A cancellation up to 2 months before the hire period starts will result in the loss of the deposit.
- A cancellation within 2 months of the hire period 80% of the full balance will be retained.
- It may be possible to postpone a booking to another date if available and agreed upon by Brilliant Bell Tent Hire.
Individual Portal Bookings
- A cancellation up to 2 months before the hire period starts will result in the loss of the deposit (where partial payments have been made) or 35% of the booking cost. You will be refunded the remaining 65%.
- A cancellation within 2 months of the hire period will result in no refund.
- It is possible to transfer you booking to another name free of charge.
8. Liability:
- Brilliant Bell Tent Hire shall not be liable for any loss, damage, injury, or expense arising from or in connection with the hire of our tent(s), except where such loss, damage, injury, or expense is caused by our negligence.
- You agree to indemnify and hold harmless Brilliant Bell Tent Hire from any claims, damages, losses, or expenses arising out of your use of our services.
9. Privacy Policy:
- We may collect personal information from you in connection with your booking. This information will be used solely for the purpose of providing our services and will not be shared with third parties without your consent.
10. Governing Law:
- These terms and conditions are governed by the laws of England and Wales. Any disputes arising out of or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
